Performance Reviews

Learn how managers can evaluate employee performance after shifts, track metrics over time, and provide feedback to help team members improve and grow.

Overview

The Performance Review system in Shifts allows managers to evaluate employee performance on a per-shift basis, track metrics over time, and identify trends. These evaluations provide valuable feedback to employees and help maintain service standards across your organization.

Understanding Performance Components

The Shifts platform tracks several aspects of employee performance:

  • Attendance: Whether an employee shows up for scheduled shifts
  • Punctuality: Whether an employee arrives on time and completes full shifts
  • Shift Performance: Quality of work during a specific shift (rated 1-5)
  • Manager Feedback: Specific comments and improvement suggestions
  • Overall Metrics: Aggregated performance statistics over time

Rating Shift Performance

After-Shift Evaluations

As a manager, you can rate employees at the end of each shift:

  1. Go to Team Management → Shift Records
  2. Select the completed shift you want to evaluate
  3. Click Rate Performance
  4. For each assigned employee, you can:
    • Select a rating from 1-5 (Poor to Exceptional)
    • Add specific feedback comments
    • Note any exceptional performance or areas for improvement
    • Acknowledge attendance status (present, late, early departure, etc.)
  5. Click Save Ratings to record your evaluations

Rating Scales

The standard performance rating scale is:

  • 5 - Exceptional: Outstanding performance, exceeds all expectations
  • 4 - Above Average: Exceeds most expectations, strong performance
  • 3 - Satisfactory: Meets expectations, performs job duties as required
  • 2 - Needs Improvement: Below expectations, requires development
  • 1 - Poor: Significantly below expectations, immediate improvement needed

Batch Evaluations

For efficient evaluation of multiple shifts:

  1. Go to Team Management → Performance → Batch Evaluations
  2. Select a date range for the shifts you want to evaluate
  3. Filter by location or employee if needed
  4. Rate multiple employees across shifts simultaneously
  5. Click Submit All Ratings

Viewing Performance Data

Individual Employee Performance

To review an individual’s performance:

  1. Go to the employee’s profile
  2. Click the Performance tab
  3. View their performance dashboard showing:
    • Attendance rate
    • On-time percentage
    • Average performance rating
    • Performance trend (improving, steady, declining)
    • Recent shift evaluations
  4. Use the date filter to analyze different time periods

Team Performance

For a broader view of your team:

  1. Go to Business Intelligence → Team Performance
  2. See performance metrics for your entire team
  3. Filter by location, department, or date range
  4. Sort by various metrics to identify top performers or those needing support
  5. Export reports for meetings or performance reviews

Performance Trends and Analytics

Identifying Patterns

The system automatically identifies performance trends:

  1. Go to Business Intelligence → Performance Trends
  2. View trend charts showing performance over time
  3. Identify peak performance periods or concerning dips
  4. Compare team and individual performance
  5. Detect correlations between schedules and performance

Custom Performance Reports

Create tailored reports to analyze specific aspects:

  1. Go to Reports → Performance Report
  2. Configure your report parameters:
    • Metrics to include (attendance, ratings, etc.)
    • Time period to analyze
    • Grouping options (by employee, location, or shift type)
    • Comparison with previous periods
  3. Generate and export your report

Conducting Formal Reviews

Use performance data for structured reviews:

  1. Go to Team Management → Formal Reviews
  2. Click Create Review
  3. Select the employee and review period
  4. The system will automatically pull performance metrics from that period
  5. Add your qualitative assessment and goals
  6. Schedule a meeting with the employee to discuss
  7. Both parties can electronically sign the completed review

Using Performance Data

Performance Improvement Plans

For employees needing additional support:

  1. Go to the employee’s profile → Performance → Improvement Plan
  2. Click Create Plan
  3. Define specific goals and metrics for improvement
  4. Set a timeframe for progress
  5. Schedule check-in meetings
  6. Track progress against goals

Recognition and Rewards

Acknowledge top performers:

  1. Identify employees with consistently high ratings
  2. Use the Recognition tool to send congratulatory messages
  3. Consider them for advanced roles or training opportunities
  4. Track improvement for recognition programs

Best Practices

For effective performance management:

  1. Be consistent with your rating scale across all employees
  2. Provide specific feedback rather than general comments
  3. Rate promptly after shifts while observations are fresh
  4. Balance positive and constructive feedback
  5. Look for patterns rather than focusing on isolated incidents
  6. Follow up on improvement plans and recognize progress
  7. Use metrics to support subjective assessments
