Learn how to create and manage shift requirements, staffing rules, and role policies to ensure your shifts are properly staffed while maintaining compliance with company policies.
Overview
The Work Rules and Policies feature in Shifts helps you establish and enforce staffing requirements, role-based rules, and location-specific policies. With this feature, you can ensure that each shift has the right mix of roles, adequate staffing levels, and follows your organizational guidelines.
Getting Started with Work Rules
To access Work Rules, navigate to Business Setup → Work Rules from your administrator dashboard. Here you’ll find two main sections:
- Shift Requirements - Configure location-specific staffing requirements
- Rule Templates - Create reusable templates that can be applied to multiple locations

Shift Requirements
Set specific staffing rules for each location:
- Minimum Staff - Specify the minimum number of employees required for a shift
- Role Requirements - Define how many employees of each role type are needed
- Location Restrictions - Require that employees be assigned to the specific location
- Prohibited Role Pairs - Prevent certain role combinations from working together
Rule Templates
Create standardized rule sets that can be applied to multiple locations:
- Time-Specific Rules - Create rules that apply to specific days of the week or time ranges
- Template Priority - Set which templates take precedence when multiple could apply
- Role Distribution - Define standardized role counts across your organization
- Quick Application - Apply templates to multiple locations with one click
Setting Up Work Rules
Creating a Rule Template
- Go to Business Setup → Work Rules → Rule Templates
- Click Create New Template
- Enter a descriptive name for your template
- Set the minimum total staff required
- Specify required counts for each role type
- Configure time conditions (days of week, time ranges)
- Define any prohibited role pairings
- Click Save Template
Applying Templates to Locations
- Go to Business Setup → Work Rules → Shift Requirements
- Select one or more locations from the list
- Choose a template from the dropdown menu
- Click Apply Template
- The template’s rules will be applied to all selected locations
Creating Location-Specific Rules
- Go to Business Setup → Work Rules → Shift Requirements
- Click on a specific location’s name
- Configure minimum staffing requirements
- Set role-specific counts
- Toggle the “Require location assignment” option if needed
- Click Save Requirements
Best Practices
For optimal results when using Work Rules:
- Start with templates for consistent requirements across similar locations
- Use time conditions to create different rules for busy periods versus slower times
- Review coverage alerts to identify shifts that don’t meet your requirements
- Update rules seasonally to account for changing business needs
